Job Description
Reporting to the Chief Executive Officer (CEO), the Operations Manager will play a critical role to support the JCLS overall on administration. Specifically, the Operations Manager will assist in the areas of office management, quarterly and annual reporting and coordination of special projects as directed by the CEO. As a representative of JCLS, this position will also be required to exercise a great deal of discretion and may frequently be provided with highly confidential information.
START DATE: ASAP
TRAVEL: Occasional travel within Canada or British Columbia may be necessary.
WORK MODEL: Hybrid
The Operations Manager will have the option to work from home and may be required to meet with the JCLS Project Office in-person several times a month (Burnaby, BC).
REPORTING RELATIONSHIPS: CEO of the JCLS Project Office
ESSENTIAL FUNCTIONS
- Manage the backend operations of the JCLS Project Office
- Maintain accurate records, organize files, and lead the management of the digital backend of the JCLS ProjectOffice
- Manage the preparation of quarterly and annual financial and project summary reports
- Track Program Key Performance Indicators and outcomes
- Reviewing, prioritizing and responding to emails, phone calls
- Maintain open communication with Accounting and support them with financial reporting and expense/travel reporting tasks as needed
- Work in collaboration with the Project Coordinator and CEO to support the coordination of event planning, community workshops, all community outreach, and presentations
- Support communications
- Assisting the JCLS Project Office with program development across all initiatives
POSITION QUALIFICATIONS
- Experience & Skills Required• 5+ years of project coordination and/or high-level administrative experience
- Excellent written and verbal communication skills in English
- Very strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and Google Suite
- Demonstrated ability to manage multiple priorities and produce results within deadlines
- Excellent organizational skills and strong attention to detail
- Ability to work in a fast-paced environment
- Ability to manage and coordinate diverse tasks and facilitate relationships among multiple parties • Demonstrated ability to work effectively and ethically in diverse settings
- Has organized and facilitated meetings (in-person, by telephone, Zoom, and other platforms)
- Ability to work well in a team environment
- Attention to confidential information
- Ability to work efficiently independently, reporting daily to the JCLS Project Office
- Supervision or management experience is considered an asset
- Open to a flexible work schedule (occasional weekends and after-business hours)
